Job Description

Roles and Responsibilities:

1. Material Receipt & Inspection:

-Receive incoming materials, spares, consumables, and equipment at the site store.

-Verify materials against purchase orders, delivery challans, and invoices.

-Ensure proper inspection and quality checks before acceptance.

-Coordinate with QA/QC and procurement departments for material verification and approval.

2. Storage & Preservation:

-Ensure proper storage, handling, and preservation of materials as per manufacturer’s recommendations and project standards.

-Organize materials in designated areas with clear labelling and identification.

-Maintain safe and clean storage conditions to prevent damage or deterioration.

3. Material Issue & Distribution:

-Issue materials to concerned departments or site teams against approved requisitions or material issue slips.

-Maintain accurate records of all materials issued and balance quantities.

-Coordinate timely availability of materials to avoid project delays.

4. Inventory Management:

-Maintain updated stock registers (manual or ERP-based) for all materials.

-Conduct periodic stock verification and reconciliation with accounts.

-Monitor minimum and maximum stock levels and prepare replenishment requests accordingly.

-Highlight slow-moving, obsolete, or excess inventory items to management.

5. Documentation & Record Keeping:

-Maintain all records related to goods receipt notes (GRN), issue notes, return slips, inspection reports, etc.

-Ensure accurate data entry in ERP/software (if applicable).

-Prepare daily, weekly, and monthly inventory reports for review.

-Support internal and external audits by providing relevant documentation.

6. Coordination & Communication:

-Coordinate with the Procurement, Accounts, QA/QC, and Project Execution teams for smooth material management.

-Liaise with vendors and transporters for timely delivery and resolution of discrepancies.

-Assist the accounts department in reconciling store and financial records.

7. Safety, Compliance & Housekeeping:

-Ensure all materials are stored following safety and environmental guidelines.

-Implement proper handling procedures for hazardous or sensitive materials.

-Maintain good housekeeping practices within the store premises.

8. Support in Project Execution:

-Provide accurate material availability updates to the planning and project teams.

-Assist in the timely mobilization and demobilization of project materials.

-Participate in material reconciliation at the end of project stages or completion.
