Job Description
1. Job Purpose / Objective
- Lead shift-wise warehouse execution for picking, kitting, staging and material issuance so that production receives the correct material, in the correct quantity, at the required location and time.
- Maintain complete alignment between physical material movement and SAP/WMS transactions, with disciplined inventory control, FIFO, traceability and timely variance closure.
- Create a safe, orderly and responsive shift operation through manpower deployment, standard work, daily performance management, problem solving and cross-functional coordination.
2. Key Responsibilities & Accountabilities
A. Shift Planning, Control & Handover
- Review the production plan, reservations, material requirements, priority orders, shortages and pending backlog at the start of each shift.
- Prepare the shift workload plan and deploy operators across picking, kitting, staging, line feeding, replenishment and issuance activities.
- Conduct the shift-start T1 meeting covering safety, plan, manpower, quality concerns, shortages, backlog and priorities.
- Monitor execution throughout the shift, rebalance resources when priorities change, and escalate risks before production is affected.
- Complete a structured shift handover covering plan versus actual, open shortages, pending transactions, abnormal stock, safety issues and required follow-up.
B. Picking, Kitting, Staging & Line Supply
- Ensure picking is executed against approved reservations, pick lists, BOM requirements or system instructions, using the correct material, batch and quantity.
- Ensure kits are complete, verified, clearly identified and staged at designated locations in line with the production sequence and agreed advance-handover window.
- Control replenishment of picking bins, supermarkets and kitting areas to prevent stock-outs.
- Ensure timely material release and line feeding while preventing wrong-part, wrong-quantity, mixed-batch, damaged or unlabelled material issuance.
- Maintain traceability for shortages, substitutions, partial kits, returns, rejected material and emergency issues, with appropriate approval and documentation.
- Coordinate the return and reconciliation of unused, excess or line-rejected materials and ensure prompt movement to the correct stock status and location.
C. SAP / WMS Transactions & Inventory Accuracy
- Execute or verify material reservations, goods issues, transfer postings, location-to-location transfers, returns and other authorised inventory transactions in SAP/WMS.
- Ensure every physical movement has a timely and accurate system transaction, with no unposted, duplicate or backdated movement.
- Monitor stock availability, negative stock, blocked stock, bin discrepancies and pending transactions; investigate and close variances with evidence.
- Conduct cycle counts and support periodic and annual physical inventory; implement corrective actions for recurring differences.
- Maintain accurate material identification, bin labels, batch/lot details, unit of measure and stock-status segregation.
D. Storage, Material Handling & Workplace Discipline
- Maintain FIFO/FEFO, shelf-life and storage-condition controls as applicable, including segregation of accepted, blocked, rejected, returnable and hazardous materials.
- Ensure safe and efficient use of racks, bins, pallets, trolleys and material-handling equipment, with defined aisles and staging zones kept clear.
- Monitor warehouse space utilisation and support layout, slotting, supermarket and material-flow improvements.
- Sustain 5S, visual management, housekeeping and standard work across picking, kitting, issuance and staging areas.
E. Safety, Quality & Compliance
- Enforce company EHS requirements, SOPs, PPE, traffic rules, lifting and ergonomic practices, and safe handling of material and equipment.
- Conduct shift safety checks, report unsafe conditions and near misses, stop unsafe work, and ensure timely containment and closure.
- Protect material quality and integrity during picking, movement, staging and issuance; prevent contamination, damage and mix-up.
- Maintain audit-ready records and support internal, customer, statutory and inventory audits.
- Ensure only trained and authorised personnel operate MHE and execute controlled system transactions.
F. Team Leadership & Capability
- Supervise warehouse operators, helpers and assigned service-provider personnel; set clear expectations and monitor productivity and discipline.
- Train and coach team members on picking accuracy, kitting sequence, barcode/scanning, SAP/WMS, safety, 5S and standard work.
- Build multiskilling and backup coverage across critical warehouse activities; support induction and on-the-job qualification of new employees.
- Maintain attendance, skill-matrix, training and shift-deployment records; recognise good performance and address non-compliance promptly.
G. Performance Management & Continuous Improvement
- Publish accurate shift reports covering plan versus actual, kits completed, issuance status, backlog, shortages, inventory variances, productivity and safety issues.
- Track shift KPIs, conduct root-cause analysis for misses, and implement corrective and preventive actions using PDCA/CAPA discipline.
- Identify and eliminate waste in travel, waiting, motion, handling, searching, excess inventory and rework; improve ergonomics and material flow.
- Support warehouse digitisation, barcode/QR scanning, WMS discipline, low-cost automation and improvement projects.
H. Cross-Functional Coordination
- Coordinate closely with Production Control, Supply Planning, Production, Quality, Sourcing, Maintenance, EHS, IT/SAP and Logistics teams.
- Provide early visibility of shortages, quality blocks, system constraints, capacity issues or equipment downtime and drive timely recovery actions.
- Participate in daily operational reviews and ensure assigned actions are closed within agreed timelines.
3. Decision Scope & Escalation
- Allocate shift manpower, sequence warehouse activities and adjust priorities within the approved production and warehouse plan.
- Hold or stop unsafe, unidentified, damaged or non-compliant material movement and seek disposition from the appropriate function.
- Correct routine transaction and location errors within authorised controls and documented procedures.
- Escalate potential production stoppage, unresolved shortage, system outage, quality block, inventory variance, capacity constraint, equipment failure or safety/compliance risk.
4. Qualifications & Experience
- Typically 5 to 10 years of manufacturing warehouse/stores experience, including at least 2-4 years in team supervision.
- Hands-on experience in picking, kitting, line feeding, material issuance, inventory control and physical stock reconciliation.
- Working knowledge of SAP MM/IM/WM or equivalent ERP/WMS; barcode or scanning-based warehouse processes are desirable.
- Experience in a high-mix manufacturing environment and supervision of employees or contract workforce is preferred.
- Willingness and fitness to work in rotational shifts and remain present across warehouse and production-interface areas.
5. Operating Rhythm
- Daily / Shift: T1 meeting, safety and gemba check, plan and shortage review, manpower deployment, picking and kitting status, issuance/backlog review, transaction closure and shift handover.
- Weekly: KPI and ageing review, cycle-count actions, repeat-issue RCA, skill-matrix and 5S review, and improvement-action closure.
- Monthly / Periodic: performance summary, training and capability review, inventory and audit support, SOP review, and continuous-improvement progress.
6. Role Conditions & Controls
- The role requires regular presence in warehouse, supermarket, kitting, staging and production-interface areas and flexibility to support operational requirements.
- All activities must comply with company policies, EHS requirements, ethics and compliance standards, approved SOPs, delegated authority and information-security requirements.
